Data protection in corporate groups and large companies

The data protection in the corporate group or in large companies ensures the correct handling of data within the group structure. In most cases, personal data is processed at different locations or subsidiaries as well as departments and their units within this structure.
In doing so, the requirements of data protection must be integrated into a cross-location and cross-societal Data Protection Management System.The data protection regulations of the General Data Protection Regulation (GDPR), national data protection regulations and industry-specific regulations must be observed.
Responsible for this task is usually a Corporate Data Protection Officer. Its task is to centrally control and supervise the implementation of the legal regulations and documentation. In most cases, the Group Data Privacy Officer is supported by data privacy coordinators.
The key challenge for the Group Privacy Officer is to maintain a complete overview of the data protection management system and to documentation and accountability as well as verification obligations centrally.

Implementation of data protection documentation incl. data protection impact assessment
In the first step, an as-is analysis is carried out in which all the relevant locations, functional areas and persons responsible are recorded. On the basis of this analysis, the Group Data Protection Team compiled.

Together with the data protection team, the internal Data flows and Data processing procedures and existing data protection documents, such as processing activities, are compared with the templates from the Robin Data software. The resulting target / actual delta is closed using the data protection templates from Robin Data.

Analysis of external data flows and recording of processors
The structure and country-specific locations external contacts as well as necessary principles for the processing of personal data, is modeled with the help of Robin Data.

The legal basis on which the transfer and processing of personal data of the external contacts is built is assigned. The contracts of Processors are recorded centrally in the Robin Data contract manager and can now be checked annually on the basis of depositable deadlines.

Structure of the erasure concept
In Robin Data, the deletion classes of the erasure concept according to DIN 66398 automatically generated. Legal retention periods are stored automatically, and the erasure concept is generated on the basis of this information. Erasure rules are used to translate the erasure classes into concrete instructions for the responsible parties.

Introduction of data protection management system and use of activity manager for process tracking
In the Activity Manager all relevant transactions are recorded. Each process is assigned a unique Document ID (or file number), which enables the assignment of further documents. Via the activity manager, activities within processes, e.g. processing of a data breakdown, are documented chronologically.
